Policies and Procedures for Operating of Hampton University
During Adverse Weather Conditions

Policy

Hampton University is primarily a residential institution and efforts will be made to maintain operation as normal as possible during inclement weather or other emergency situations.

Procedures

The President of the University has responsibility for opening/closing Hampton University in the event of serious adverse weather conditions, which develop overnight or during the day.

In the President's absence, the Administrative Council shall be responsible for making a decision regarding the opening/closing of Hampton University should adverse weather conditions develop overnight or during the day.

After the President or the Administrative Council has made a decision, the Director of University Relations shall be notified immediately in order to provide information to the media and the University Community.

The Director of University Relations shall also be responsible for notifying University Police and the Hampton University Switchboard of the decision.

Essential personnel are needed for the on-going operations of the University. Therefore, these employees are expected to be present during emergencies or adverse weather conditions. The following categories are deemed essential to the operation of the University.

  1. Administrative Council
  2. Switchboard
  3. University Police
  4. Cafeteria Personnel
  5. Buildings and Grounds Personnel
  6. Dean of Men and Dean of Women
  7. Residence Hall Directors
  8. Director of Student Activities
  9. Student Health Center, Nursing Director and Designated Support Staff
  10. Director of University Relations — On Call 24 hours to communicate directions to the Hampton University family.
  11. Supervisor of Maintenance Storeroom
  12. Trucking Services Personnel
  13. Supervisor of the Mail Room
  14. Director of Auxiliary Services
  15. Directors of Enterprise Systems and Admission, Webmaster, etc.
  16. Supervisors may also call other personnel as conditions dictate

When adverse or inclement weather conditions or other emergencies require delaying the beginning hour for classes, the specific hours for Mondays, Wednesdays and Fridays shall be consistent with the regular class schedule such as 9:00 a.m., 10:00 a.m., and 11:00 a.m. On Tuesdays and Thursday where classes are scheduled for one hour and fifteen minute periods, delayed classes should begin at 9:30 a.m., 11:00 a.m. or 12:30 p.m., etc. Whenever a decision is made to begin classes or open the University at a time other than the normal hour, the Director of University Relations and staff, after being informed of the decision, will contact various media, including radio, television and newspapers. The Hampton University staff, faculty and students are, therefore, encouraged to seek information from these sources regarding openings and closings.

When adverse weather conditions develop during the day, the Provost and the Vice President of Business Affairs and Treasurer shall be responsible for notifying respective personnel after a decision has been reached by the President or the Administrative Council.

Those employees unable to get to work or class will be excused without penalty.
